Student Records & Rights

The Records Office maintains all student educational records at the tech college and meets federal and state requirements, which include: maintenance and access of transcripts, enrollment, training, and testing. Students may obtain access to such information at this office. Arrangements for after hour appointments can be made by contacting the Registrar.

Student Privacy Rights / Management

The tech college Records Office maintains student records in accordance with the Family Educational Rights and Privacy Act. The Family Educational Rights and Privacy Acts, (F.E.R.P.A.) also referred to as the Buckley Amendment, provides that (1) students have access to inspect and review their educational records and (2) protects the rights of a student to privacy by limiting access to the education records without express written consent. Institutions may release without written consent those items specified as public or directory information, provided that the institution informs students of the data designated as public information, and gives students prior opportunity to refuse disclosure of any or all categories of that information.

Directory information at Ogden-Weber Tech College includes: name, home address, home phone number, email address, date, place of birth, major area of study, program in which enrolled, certificates, dates received, and dates of attendance. (Policy 530.1 Release of Information)

The Records Office maintains student records and follows the guidelines provided by the Government Records Access and Management Act (GRAMA). GRAMA went into effect in 1992. It sets forth guidelines for classifying information in government records based upon who has the right to access that information. The law also identifies the records management responsibilities of agencies, and the duties of State Archives and the State Records Committee. (Policies 530.1 & 520.57)

Consent to Release Information

The consent to release information form allows students to designate another person to access or obtain their information and/or student records. This form is available in the Records Office.

Record Holds

Students with financial obligations to the college cannot obtain certificates, diplomas and official transcripts.

Student Web Access Account

The tech college provides students with web access to their educational records and student policies. Students are encouraged to monitor their attendance and progress. Students may be asked to provide information to: their parents, sponsor, or employers; so it is important for students to activate their accounts early. Enrolling students will be given the opportunity to apply for web access. Β For questions or help contact the Enrollment Office in Student Services SS101.
